Student Privacy

Student Privacy Policy 

This privacy policy documents how EUSA · Academic Internship Experts collects, uses, and protects the personal information you give us. 

Information We Need to Collect and Hold to Provide Services to Students, to Comply with the Law, and to Protect the Health and Safety of Students

EUSA collects personal information from and about students who have applied to and been accepted to programs run in partnership between EUSA and its partner universities; any information we collect or generate may be shared with the relevant university partner. If the university you applied through is based outside the EU, that means that EUSA may transfer the information you give us outside the EU.

EUSA never sells or monetizes student data. EUSA only collects student information necessary for fulfilling contracted services to students on our programs, to protect their health and safety, or comply with local legal requirements. The information students provide to EUSA includes: 

  • name
  • date of birth 
  • photographs  
  • email address, permanent physical address, and phone number of students and their nominated emergency contacts  
  • transcripts and grade information 
  • information about academic major 
  • visas, and all information required for visa application 
  • resumes/cv’s and all information typically contained therein 
  • passport/citizenship information (only where required by law/visa) 
  • medical and special needs information necessary to provide essential services, assistance, and special accommodations to students 
  • information necessary for assigning housing during the program (including dietary preferences or restrictions) 
  • information about students’ travel outside the program city while participating in the program 
  • information about personal and professional goals and development collected through PILOT – Personal Learning Objective Toolkit 
  • application information required for DBS vetting (UK only) if necessary for the internship 
  • application information required for Garda vetting (Ireland only) if necessary for the internship 
  • feedback and comments on all aspects of the program

Additionally, EUSA generates or collects information about the student as part of providing our services. This includes:

  • internship placement information
  • internship supervisor evaluations 
  • attendance records 
  • internship placement consultation notes 
  • notes relating to concerns or problems with any aspect of the program 
  • grades 
  • documentation of disciplinary action 
  • accident or incident reports 
  • location and status information in the case of a large scale emergency 
  • correspondence with students 
  • Live, Intern, Learn Abroad scholarship awards

How We Share Information

EUSA only shares information provided by students when it is necessary to do so in order to provide contracted services, to protect student health and safety, and to comply with the law. As noted any of the information provided by or generated about a student may be shared with the relevant partner university.

Other Ways we Commonly Share Information:

  • We share CV’s and resumes (and all the information that students include in these documents, including name) with potential internship supervisors along with information about students’ professional and academic interests and development goals. 
  • We share information necessary for providing accommodation with student residences, homestay agencies, and homestay families. This information includes name, special requests; medical or special needs information essential to providing appropriate, accessible accommodation and maintaining student health and safety (including dietary restrictions or information) 
  • We share information required to obtain third party liability insurance cover (name and date of birth) if included in the program 
  • For students on London programs, we provide information necessary for visa applications with the UKVI; in very limited instances where there are immigration issues, we may need to share information with our local legal advisors 
  • If the internship requires security vetting by the Gardaí (Ireland), EUSA will share the application information with the agency that facilitates vetting and the certificate of vetting with the internship 
  • If the internship requires security vetting by DBS (UK), EUSA may share an electronic copy of the vetting certificate with the internship; individual students are still required to provide the hard copy of the certificate to the internship 
  • We may need to share student names to classroom providers in order to permit access  
  • If EUSA has been contracted to facilitate courses delivered by third parties (e.g. language classes), we will provide student names and other information essential to deliver this service 
  • Information required to enroll students who are US citizens in the US Department of State Smart Traveller Enrollment Program (STEP) 
  • Information required for travelcard applications if this is included in the program 
  • Information required for membership in third party social program schemes (if included in the program), including CIJP (Paris) and BeMadrid (Madrid) 
  • We may provide student names to service providers involved in excursions (coach/bus companies, hotels, tour providers) 
  • We may provide student names for coach/taxi companies for airport pick-up/drop-off if this is included in the program

Information We Share to in Order to Comply with the Law

  • EUSA will share any information (including attendance data) required by the UKVI
  • EUSA shares internship agreement information with local authorities where required 
  • EUSA may also disclose other information when we reasonably believe we are required to by law; to protect the safety of our students or the public; or in the case that we reasonably believe that failure to disclose would put us at risk for liability.  

Sharing of Information in an Emergency

  • If EUSA provides emergency support to your program, students provide us with the name and contact information of 1-2 trusted individuals (usually, but not always, a parent) and indicate that it’s ok for EUSA to share information regarding health/wellbeing if the student is unable to do so due to incapacitation or if EUSA believes there is a serious risk to health and safety. As our students are legal adults, we only share information directly with emergency contacts when we believe it is absolutely essential, and we encourage students who are able to communicate with their families to do so directly
  • We will share medical and special needs information with appropriate parties (e.g. healthcare providers) when necessary (for example if a student is unable to communicate or advocate for themselves due to incapacity or language barriers) to protect student health and safety

Title IX

EUSA is appointed by our partner universities to be responsible for students while participating in the program. This includes observing Title IX laws which apply on the home campus.

EUSA operates a zero-tolerance policy to any form of assault, discrimination, or harassment, including sexual, racial, or gender based abuse. If students are affected by this type of misconduct, we encourage them to report it to EUSA. 

We will make every reasonable effort to respect student privacy when investigating such reports.

EUSA is required to report all cases of misconduct to the partner university’s Title IX coordinator.

How Long Does EUSA Keep Student Information?

EUSA retains the information listed above for five years from the end of the program, with the following exceptions: 

  • At the end of a program, EUSA may remove the following information: date of birth; email/physical address/phone numbers of nominated emergency contacts
  • One year from the end of the program, EUSA will securely remove any documents relating to DBS and Garda vetting and compliance with Tier 4 visas (UK) 
  • Academic work (including tests, exams, and papers) is removed after four years 
  • After five years, EUSA retains only the name of the student, the university the program was delivered in partnership with, and a record of accepted internship placements. This is to facilitate EUSA’s ongoing relationships with internship supervisors, and because former students frequently request this information from EUSA several years after the end of a program.  

Accessing and Ensuring Accuracy of Data

Any student who wishes to see and ensure the accuracy of the information EUSA holds on them may do so by contacting support@eusainternships.org

Removal of Information

Processing in the United States, the United Kingdom, Ireland, Spain, France, and the Czech Republic  

EUSA operates in the United States, the United Kingdom, Ireland, Spain, France, and the Czech Republic, and most of its students and university partners are based in the United States. 

EUSA employees in any of these countries may have access to student information (this is to allow EUSA employees from any location to access data to assist in locating and helping our students in the event of a large scale emergency), but they are bound by uniform policies regarding use of personal data. 

Securing Your Information

Protecting your information is important to EUSA, and we take reasonable and proportional administrative, technical, and physical measures (including encryption of sensitive personal data and regular review of appropriate handling of physical documents) to prevent loss, theft, or misuse, as do third parties (e.g. data centers, contract IT staff and developers, Wufoo, Survey Monkey, Mail Chimp, etc) involved in handling or processing data on behalf of EUSA in the course of our operations. 

Although EUSA takes reasonable and appropriate steps to safeguard your data, there is inherent risk in transmitting any information over the Internet, and by submitting your data to EUSA, you understand that there is always risk of bad actors intercepting or stealing data, and that EUSA cannot guarantee total data security. 

Other Use and Disclosure 

Any information submitted through www.eusainternships.org and www.eusagateway.org may be disclosed to outside parties where necessary for us to facilitate our services, websites, IT systems and essential operations, including, but not limited to, third parties assisting with data storage and management and website development and maintenance. 

Other Information EUSA Collects and Shares 

Photography and Videography  

EUSA and third party photographers and videographers hired by EUSA, may document EUSA activities, classes, field trips, internship visits, other events, as well as interviews with students, internship supervisors, and university partners. By attending these events, or agreeing to participate in video interviews or pose for photographs, you understand that EUSA may use or share these photographs or videos in print, on its website or social media feeds, or presentations indefinitely and without compensation or remuneration. 

Students who do not wish to participate in photography or videography should either not attend optional events where it may occur, or notify local program staff in advance to ensure that we can make alternative arrangements (e.g. instructing photographers/videographers not to take pictures of that student, making a note of what they are wearing to ensure we don’t share their image, etc). 

Prospective Students

www.eusainternships.org collects or accepts submission of the following types of information: name, email address, phone number, college/university, year of graduation, and city of interest through the Next Steps form in order to contact, and advise students and connect them with contacts at their home campus. We retain this information as long as we reasonably believe that a student may be interested in our programs (typically 1-4 years). 

Scholarship Applications

All applications for the Live, Intern, Learn Abroad scholarship are held for one year. 

Campus Ambassador Program  

Campus Ambassador Program applications are held for one year. 

Campus Ambassador Program projects are, by design, meant to be shared broadly and without limitation. Former students who voluntarily apply to participate in the CAP program understand that their names, pictures, and projects relating to CAP will be shared without compensation or remuneration.

Non-Identifying Information

EUSA collects feedback and evaluation information from students and internship supervisors and information about students’ professional interests, goals, and development through www.eusagateway.org, www.eusainternships.org, and www.surveymonkey.com. EUSA uses this information to facilitate and improve our programs, and to evaluate and improve our services to our students, university partners, and internship supervisors. 

EUSA also uses this information for research; presentations; and marketing EUSA programs (including but not restricted to webinars; live presentations; sharing on third party social media websites; print and online marketing material). By submitting this information, you agree that EUSA may use this information for these purposes without payment or other remuneration. 

EUSA always makes it clear when it intends to use personally identifiable information for these purposes (for example, attributing a quotation about a positive experience).

Social Media and External Websites 

www.eusainternships.org links to third party websites, including social media websites, in order to provide useful information for our students and partners. EUSA does not control the privacy and security of these websites, and by following those links and sharing information through them, you understand that you are subject to their privacy policies, data security measures, and cookie use policies. EUSA does not expect or require students to use social media websites to fully participate in its programs. 

EUSA assumes that if you make posts to social media pages managed by EUSA, or tag EUSA’s social media handles (e.g. @eusainternships, @EUSAAcademicInternshipExperts, or any other handle EUSA may create and manage) or EUSA-specific hashtags (e.g. #EUSALondon, #EUSADublin, #EUSAMadrid, #EUSAParis, #EUSAPrague, #EUSACap, etc) in posts to your own social media feeds, that you are giving EUSA permission to share and repost the content on EUSA’s social media feeds or www.eusainternships.org.  

Other Considerations

Financial Information  

EUSA does not collect financial or credit card information through any of its websites. 

Children Under the Age of 13

www.eusainternships.org and www.eusagateway.org are not intended or designed for use by children under the age of 13. If we are made aware of any submissions by children under the age of 13, they will be removed.

Cookies  

www.eusainternships.org is hosted by Squarespace and uses Wufoo forms which place cookies – small text files – on your device in order to enhance your browsing experience, and collect non-indentifiable information (e.g. IP address, browser type, language, time, etc) in order to analyze traffic patterns and website use. These files do not alter your system files or collect personal information. 

Changes to this Policy  

When EUSA updates or makes changes to this policy, we will update this page and note the date of the most recent update at the end of the policy. It is your responsibility to review the policies in effect at the time that you use our websites. Your information will be used in accordance with the policy that was in effect at the time you submitted it, or in accordance with prevailing laws.

Supervisor Privacy Policy

This privacy policy documents how EUSA · Academic Internship Experts collects, uses, and protects the personal information you give us. 

Information We Need to Collect and Hold to Provide Our Services

Potential Supervisors

EUSA collects or accepts submission of the following types of information from individuals who have expressed an interest in welcoming an intern to their organization: name, job title, email address, physical address, phone number(s), internship descriptions and intern requests, and requests for program information and further contact.

When you provide your information and express an interest in welcoming an intern to your organization, we retain this information in order to contact you by email or phone to discuss arranging an internship either because we have a student or are likely to have a student who will be a good fit for your organization, usually around three times a year. We make an effort to minimize this type of contact – we don't want to annoy anyone with a lot of unnecessary calls and emails.

We will retain your information and continue to contact you in this manner for as long as you remain interested in welcoming an intern and as long as we believe that our students may be suitable for your organization. You may contact EUSA if you would like to know which of your data EUSA holds, and to correct it if necessary.

Removal

If you would like us to stop contacting you and remove your information from our systems, just let us know at support@eusainternships.org.

Supervisors

Once you welcome an intern to your organization and become a supervisor, your information becomes part of the student’s record on our system in the following ways: by providing evaluation and feedback on the student’s performance, by submitting attendance reports, through correspondence regarding the intern, and through an emergency contact listing for health and safety and emergency contact during business hours. We retain this information in the student’s record for five years from the end of their program.

Maintaining open channels of communication is essential for the success of the internship. EUSA will contact supervisors as necessary for the duration of an internship placement, e.g. to request completion of evaluation and attendance forms, to discuss specific concerns, to confirm the health and safety of an intern, etc.

You may contact EUSA if you would like to know which of your data EUSA holds, and to correct it if necessary.

Removal

You can request that EUSA remove your information for the purpose of arranging new internships by letting us know at support@eusainternships.org.

How EUSA Shares Data

EUSA does not sell or otherwise monetize the personal data of any of its stakeholders.

Potential Supervisors

We do not share or sell potential supervisors’ names or contact information. We may share general information about the internship – such as information about your organization or the internship description you provided – with our students in order to gauge their interest and suitability for a role, but we will not reveal information about a named individual.

Supervisors

EUSA does not sell or otherwise monetize supervisors’ names or contact information.

We do share the detailed feedback and evaluation data provided by supervisors with both the student and their home university in the United States; supervisor names are provided, but not other contact information.

EUSA shares legal documentation of the internship (e.g. a convention du stage or attendance data provided by the supervisor) with relevant local authorities (e.g. the Inspecteur du Travail, the UKVI) upon request where we are required to do so by law.

Supervisores

Una vez que reciba a un/a estudiante en su organización y se convierta en supervisor/a, su información forma parte del expediente del estudiante en nuestro sistema de la siguiente manera: al proporcionar una evaluación y retroalimentación sobre el desempeño del estudiante, al presentar informes de asistencia, a través de correspondencia sobre el/la estudiante y a través de un listado de contactos de emergencia por salud y seguridad y de un contacto de emergencia durante horas laborales. Fotografía y vídeo

También apreciamos la entrega de vídeos de supervisores que quieran compartir sus experiencias trabajando con EUSA. 

EUSA siempre obtendrá el permiso del/de la supervisor/a y de la organización anfitriona antes de hacer fotografías o vídeos. Al estar de acuerdo en participar en entrevistas de vídeo o posar para fotografías, usted entiende que EUSA puede utilizar o compartir estas fotografías o vídeos impresos, en su página web, en sus redes sociales o en presentaciones sin derecho a ninguna compensación o remuneración. 

Información financiera

EUSA no recopila información financiera o de tarjetas de crédito a través de ninguna de sus páginas web. 

Cookies

www.eusainternships.org está alojado en el servidor de Squarespace y utiliza formularios Wufoo, los cuales colocan cookies -pequeños archivos de texto – en su dispositivo para mejorar la experiencia de navegación y recopila información no identificable (por ejemplo, su dirección IP, tipo de navegador, idioma, hora, etc.) para analizar los patrones del tráfico y uso de la página web. Cette politique de confidentialité décrit comment EUSA · Academic Internship Experts collecte, utilise et protège les données personnelles que vous nous donnez.  

Les Informations que Nous Devons Collecter et Conserver Pour Apporter Nos Services 

Superviseurs Potentiels

EUSA collecte ou accepte la soumission des types suivants d'informations des individus ayant exprimé un intérêt pour l'accueil d’un stagiaire dans leur organisation : nom, titre du poste, adresse e-mail, adresse physique, numéro(s) de téléphone, descriptions de stage et requêtes de stagiaire, et requêtes d’informations de programme et de contact ultérieur. 

Quand vous apportez vos informations et exprimez un intérêt pour l'accueil d'un stagiaire dans votre organisation, nous conservons ces informations afin de vous contacter par e-mail ou par téléphone afin de discuter l’arrangement d’un stage, soit car nous disposons ou disposons probablement d'un étudiant qui correspondra à votre organisation, et ceci habituellement environ trois fois par an. Nous nous assurerons de minimiser ces types de contacts - nous ne voulons pas importuner qui que ce soit avec des appels ou e-mails superflus. 

Nous conserverons vos informations et continuerons à vous contacter de cette façon tant que vous restez intéressé par l’accueil d’un stagiaire, et tant que nous pensons que nos étudiants puissent correspondre à votre organisation. Vous pouvez contacter EUSA si vous désirez savoir quelles données vous concernant EUSA conserve, et les corriger si nécessaire. 

Retrait

Si vous désirez que nous arrêtions de vous contacter et que nous retirions vos informations de nos systèmes, veuillez simplement nous le faire savoir à support@eusainternships.org

Superviseurs

Une fois que vous accueillez un stagiaire dans votre organisation et que vous devenez un superviseur (ou maître de stage), votre information fait partie du dossier de l’étudiant dans notre système des façons suivantes : en apportant des évaluations et des retours sur les performances de l’étudiant, en fournissant des rapports d'assiduité, en correspondant avec le stagiaire, et avec une liste de contacts d’urgence pour des contacts liés à la santé, la sécurité et les urgences durant les heures de travail. Nous gardons ces informations dans le dossier de l’étudiant pendant cinq ans à partir de la fin de leur programme. 

Il est essentiel pour la réussite du stage de garder les canaux de communication ouverts. EUSA contactera les superviseurs quand nécessaire pour la durée du placement en stage, par exemple pour demander la complétion de formulaires d'évaluation et d'assiduité, pour discuter de problèmes spécifiques, pour confirmer la santé et la sécurité d’un stagiaire, etc. 

Vous pouvez contacter EUSA si vous désirez savoir quelles données vous concernant EUSA conserve, et les corriger si nécessaire.

EUSA ne vend pas et ne monétise pas les données personnelles de ses parties prenantes.  

Superviseurs Potentiels

Nous ne vendons pas et ne partageons pas les noms ou informations de contact de superviseurs potentiels. Il se peut que nous partagions des informations générales concernant le stage - telles que des informations à propos de votre organisation ou la description du stage que vous fournissez - avec nos autres étudiants afin de mesurer leur intérêt et leur compatibilité pour un rôle, mais nous ne révélerons pas d'informations concernant un individu nommé. 

Superviseurs

EUSA ne vend pas et ne monétise pas les noms ou informations de contact des superviseurs.  

Nous partageons cependant les données d'évaluation et les retours détaillés fournis par les superviseurs à l'étudiant et leur université aux États-Unis; les noms des superviseurs sont fournis, mais aucune autre information de contact n’est ajoutée. 

EUSA partage la documentation légale du stage (par exemple une convention de stage ou des données d'assiduité fournies par le superviseur) aux autorités locales compétentes (par exemple l’Inspecteur du Travail, l’UKVI) si une telle demande est effectuée, comme la loi le requiert. 

Traitement dans les États-Unis, le Royaume-Uni, l’Irlande, l’Espagne, la France, et la République Tchèque  

EUSA opère aux États-Unis, dans le Royaume-Uni, l’Irlande, l’Espagne, la France, et la République Tchèque, et la plupart de ses étudiants et partenaires universitaires sont basés aux États-Unis. Les lois de protection des données et de la vie privée peuvent varier selon les pays et peuvent ne pas correspondre à celles du pays duquel vous envoyez des informations. 

Les employés d’EUSA dans l’un de ces pays ont la possibilité d’accéder à vos informations de contact (afin de permettre aux employés d’EUSA, peu importe leur emplacement, d'aider à trouver et aider nos étudiants dans le cas d’une urgence à grande échelle), mais ils sont liés par ces politiques uniformes en ce qui concerne l’utilisation des données personnelles.  

Sécurité 

La protection de vos informations est importante pour EUSA, et nous prenons des mesures administratives, techniques et physiques raisonnables et proportionnelles (y compris l’utilisation de SSL pour des données personnelles sensibles, et l'examen régulier du bon maniement des documents physiques) afin d'empêcher la perte, le vol, ou l'abus, comme le font les parties tierces (par exemple les datacenters, le personnel et les développeurs informatiques sous contrat, Wufoo, Survey Monkey, Mail Chimp, etc.) impliquées dans le traitement ou la manipulation des données au nom d’EUSA selon le déroulement de nos opérations.   

Même si EUSA prend des mesures raisonnables et appropriées pour protéger vos données, il y a un risque inhérent dans la transmission de données sur Internet, et en envoyant vos données à EUSA, vous comprenez qu’il y a toujours un risque que des mauvais acteurs interceptent ou volent vos données, et qu’EUSA ne peut permettre une sécurité totale de vos données.  

Partage d'Informations Non-Identifiables

EUSA collecte des informations d'évaluation et des retours des superviseurs de stage et des superviseurs potentiels à propos de nos services avec www.eusagateway.org, www.eusainternships.org, www.surveymonkey.com, www.wufoo.com, et d'autres services de sondages et de formulaires tiers. EUSA utilise ces informations pour faciliter et améliorer nos programmes, et pour évaluer et améliorer les services que nous apportons à nos étudiants, nos partenaires universitaires, et nos superviseurs de stage.  

EUSA utilise également ces informations pour la recherche; des présentations; et des programmes marketing d’EUSA (ce qui comprend, sans s’y limiter, les webinaires, les présentations en direct, le partage sur des réseaux sociaux tiers, et des documents marketing en ligne et imprimés). En envoyant ces informations, vous acceptez qu’EUSA puisse utiliser ces informations dans ces buts sans paiement ou autre forme de rémunération. 

EUSA s'assure toujours de clarifier l’utilisation d’informations identifiables dans ces buts (par exemple, attribuer une citation concernant une expérience de travail positive avec EUSA ou ses stagiaires). 

Réseaux Sociaux et Sites Externes  

www.eusainternships.org a des liens vers les sites tiers, y compris les réseaux sociaux, afin d'apporter des informations utiles à nos étudiants et partenaires. EUSA ne contrôle pas la confidentialité et la sécurité de ces sites, et en suivant ces liens et en partageant des informations à travers eux, vous comprenez que vous êtes sujet à leurs politiques de confidentialité, mesures de protection des données, et politiques d’utilisation des cookies. EUSA n'attend pas de et ne demande pas à ses parties prenantes d’utiliser des réseaux sociaux pour participer pleinement à ses programmes.  

Nous estimons que si vous rédigez des messages sur les pages de réseaux sociaux gérées par EUSA, ou que vous mentionnez les pages de réseaux sociaux d’EUSA (par exemple @eusainternships, @EUSAAcademicInternshipExperts, ou tout autre page qu’EUSA puisse créer et gérer) ou des hashtags spécifiques à EUSA (par exemple #EUSALondon, #EUSADublin, #EUSAMadrid, #EUSAParis, #EUSAPrague, #EUSACap, etc.) dans des messages sur votre propre fil de réseau social, vous donnez ainsi à EUSA la permission de partager et re-poster le contenu sur les fils de réseaux sociaux d’EUSA ou www.eusainternships.org.   

Photo et Vidéo  

EUSA et les photographes et vidéastes tiers employés par EUSA, peuvent documenter les activités, les classes, les sorties éducatives, les visites de stages, et les autres événements d’EUSA, ainsi que les interviews avec les étudiants, les superviseurs de stage et les partenaires universitaires. Nous acceptons aussi les soumissions de vidéos des superviseurs désirant partager leurs expériences de travail avec EUSA. 

EUSA s'assurera toujours d’obtenir la permission du superviseur et de l’organisation hôte avant d'organiser des photos et des vidéos. En acceptant de participer à des interviews vidéo ou de poser pour des photos, vous comprenez qu’EUSA peut utiliser ou partager ces photos ou vidéos par papier, sur son site ou sur les fils de ses réseaux sociaux, ou ses présentations, sans compensation ni rémunération.  

Informations Financières  

EUSA ne collecte pas les informations financières ou de carte de crédit, sur aucun de ses sites.  

Cookies
